Most of the articles you will find are so incredibly biased that it can be hilarious: articles sponsored by RPA companies saying that Robotic Process Automation is very much alive and healthy, articles sponsored by competing products trying to hammer another nail into the RPA coffin. The formula "is X technology dead?" for clickbait is not new, but people seem to have really gone to town with Robotic Process Automation. Everyone is trying to jump onto the RPA Dead or Not Dead train on one side or the other. The least entertaining ones will go for a Depends approach, because they always do. There seems to be more consensus on the internet about whether Elvis Presley really did die (he apparently did not, by the way) or whether the moon landing was real (it was, sorry conspiracy theorists) than about whether RPA is dead or not.<br></p><p>Which begs a whole different question: why is it so important to establish if Robotic Process Automation is dead? This is the question that is probably more intriguing, because I believe the answer will give us a glimpse into the true problem of RPA, and yes there is indeed a problem with RPA, that much is evident from the level of controversy. Admitting to that problem starts with acknowledging that the whole thing is not about ending the use of a technology, but about ending a hype.<br></p><p>Robotic Process Automation rose to prominence during the 2010s, and by the time the Pandemic hit it was basically what the general public thought of when they thought of automation. What was the secret of success? Probably the same as that of most successful products: good timing and even better advertising. RPA went big just in time to surf the first stage of the automation fad. From the mid 2010s or so onwards, any article with the word Automation on it was instant clickbait, and those articles started mentioning RPA more and more. There were other tools for automating, some that had seen more widespread use in the years prior, namely Business Process Management. However, RPA had something BPM did not at the time: it was visually striking, and well presented. You looked at the outcome of Robotic Process Automation and the Process part was not even in it, it was more like "holy crap an actual robot is imitating my clicks on the screen and doing my job for me."<br></p><p>And that is the second thing: The name. It had the word Robot in it. Yes, the word was invented by a Czech writer and popularized by a Russian-born American writer, you can look it up, but that is not important right now. Whereas Business Process Management sounds like something that is simultaneously below your paygrade if you are a C level executive, and above your paygrade if you are not, the word Robot appeals to everyone, from the top board member to their four-year old kid. So Robotic Process Automation had two of the most clickbaitable words in the actual name, and it did something which was easy to explain and very easy to comprehend once you saw it in action. In short, the perfect recipe for one of the most hyped-up products in this century. Besides all that, and to be fair, it was a useful product that filled a gap in the market that was not being properly serviced.</p><p>So, why are we not still sailing the blue seas of Robotic Process Automation, following the path of RPA anywhere it may take us? Because the fact that RPA sold like hot bread prompted its use for everything, even for things RPA was not designed for. Like MacGyver dismantling an atomic bomb with his Swiss army knife, it looks awesome, just maybe not very practical. Swiss army knives are great, but you would not want to take your car to a mechanic and see that the mechanic is going to be using one as their only tool to fix your transmission, regardless of how like Richard Dean Anderson he may look. <br></p><p>There are many great automation tools out there. Besides Business Process Management,  low-code and no-code automation platforms for example have always been a go-to solution for implementers, because they are flexible and yes, they can integrate RPA as well.<br></p><p>Regardless of this, the hype got out of control more than a bit. The most important Robotic Process Automation vendors did a lot of their business through reseller partners; these partners joined the gold rush, pushed the popular product and tried to fit it into every use case, very often to the detriment of their clients, for example installing a robot to operate over a user interface that would change a month later and break the robot, instead of just calling an API. All because Application Programming Interface sounds boring and Robot sounds fun. This made some people very angry, namely experts who have always wanted to use the best tool for the job, which sometimes includes RPA and is not limited to RPA.  <br></p><p>What aspects of Robotic Process Automation have they been bashing for a while now? Price, for one. RPA is expensive, and the pricing is not very flexible, whereas other tools out there have developed a pricing model that allows adjustments based on execution time and specific business metrics. Maintenance is another critical aspect: RPA requires ongoing attention whenever it interacts with operating systems, servers, machines, and infrastructure. This means always. Low-code tends to be more resilient. RPA requires a complex and resource-intensive infrastructure setup, which in the heyday of RPA was more than welcome by implementers who could make a hefty sum with drawn out projects, but at the end of the day is just not good for the client. Neither is the fact that, as mentioned earlier, something as simple as calling an API is made quite complex if one wants to do it using RPA.<br></p><p>Robotic Process Automation does excel in areas other tools do not, for example UI automation. This is even in the name of one of the biggest and fastest-growing RPA companies in the world. RPA is specifically designed for tasks that involve interaction with user interfaces, whereas BMP and low-code focus on backend processes and integrations. Then again, the whole problem with RPA was never about what RPA can and cannot do, rather about the way what RPA can actually do was communicated, and later amplified when marketed and sold.<br></p><p>Imagine people who love dogs and people who love animals in general. Whenever a Dog Person says to an Animal Person "I have a dog", the Animal Person wants to hear about it, because they are interested in all pets. However, when an Animal Person says "I have a cat," the Dog Person always says "I prefer dogs" and they proceed to talk about their dog. Dog People are completely oblivious to this, but it makes them terrible conversationalists, as it alienates owners of all other pets. The same happens between Robotic Process Automation companies and other technology-agnostic service providers or low-code automation companies. When a use case is shown to a general automation company, they will say "we can do this using a combination of tools, including RPA." If the same case is shown to an RPA company, they will say "we can do this using only RPA," which is of course not true, but is fashionable to say. This dispute is bad enough when there are two parties trying to agree, but then the clients get caught in the middle. That is when things get nasty. Clients are afraid of being oversold on technology, so more than one automation company has been talking to a client when they hear the rebuke: "what do you mean a combination of tools? We just talked to another provider, and they said they can do this using only RPA." <br></p><p>All of this has strained communications a lot, and as communications break down, many automation companies get fed up, try not to use RPA altogether (even in scenarios where it is useful) and we end up with people talking about the death of RPA and other people googling about it, which is right where we started. <br></p><p>All of the above has been happening for a few years now. As early as 2019 HFS was already predicting the downfall of RPA. The hype, which never stopped regardless, had another, more recent, undesirable side effect. We mentioned that Robotic Process Automation vendors did a lot of  business through reseller partners; most of their business in fact. RPA companies were aggressively pushing their product through partners, not only using the RPA Can Do Everything argument, but also giving out really great margins to their reseller partners. A reseller partner could get up to 45% of the list price as margin if they played the game well. This is no longer the case. RPA vendors have started to realize that, since their product now sells itself and everyone wants to sell it for them, they no longer need to reward the partners that have been with them for the better part of a decade. This article will name no names, but when a 45% margin suddenly turns into 15%, a lot of implementers are ready to jump ship and adopt other tools, suddenly realizing that there is more that RPA cannot do than what it can actually do. Dropping profit margins will do that to people.</p><p><br>In conclusion, regardless of whether or not RPA is dead, what is surely dying is the hype, and with it the principle of ineffability that seemed to halo around Robotic Process Automation for a few years. The technology world seems finally ready to embrace other solutions. Low-code and no-code are on the rise, bringing with them the promise of a client-centric approach based on outcomes, using the best tools for the job. Let that sink in for a few seconds. Every software that you can think of serves that basic purpose. We recommend the second option as nothing can replace a hands-on experience. <br>To build and run the demo process, you only need a free PROCESIO account that you can obtain in a minute. Go on procesio.com, push the "create account" button and follow the process.</p><p>After you receive the credentials, log in, and you are ready to use it.</p><p>Now let's see what we are going to do.</p><p>We are going to design a process that will get some data from a Weather.com application and insert it into a report. We picked this scenario because the building principle behind it applies to a lot of real-world use cases. The process is the same whether we get data from a website and add it to a file or integrate Salesforce with Hubspot.</p><p>Let's get started.<br>We log in, and we are directed to the Dashboard. <br>The navigation panel that contains PROCESIO's main components is on the left-hand side of the screen.</p><p>We will use only "Process Designer" and "Document Designer" in this video.<br>With "Process Designer", we create, modify and run processes. The "Document Designer" component is used when we want to develop file-based reports.<br><br>To create our process, we need to go to the "Process Designer" home page and push the "Create New" button; a new process workspace opens. <br>There are several essential functionalities in this space.</p><p>We can see the platform-defined actions on the left side of the workspace.</p><p>On top of the workspace, we have the process name. <br>On the right side, there are "Save", "Validate", and "Run" buttons, and, essential, the controls for "Variables" and the "Error messages" windows.</p><p><br>Now let's design our demo workflow.<br>As mentioned earlier, we want to connect to the Weather.com application, get the temperature for a specific city, and add it to a document.</p><p>So, first, we drag and drop a "Call API" action on the workspace. The "Call API" action allows us to connect and request the information we want.</p><p>Then, we add a "JSON mapper" object to our workspace, allowing us only to get what we need from the answer we get from Weather.com. The final step is to add the information into a report, so we drag and drop a "Generate Document" object on our digital canvas.<br></p><p>The last thing, we establish the flow direction and the order of execution by connecting with arrows the actions we added to the workspace.</p><p>And that's it! Our first process design! Now we push the save button on top to make sure our work is safe.</p><p>To go back to the "Process Designer" home page, we push the "Back button" on the top left side corner of the screen.<br></p><p>As a next step, we need to configure the objects we added in our process, but before that, I would like to clarify some terminology we used for those new to the application integration domain.<br>I'm referring to API and JSON.<br>API stands for application programming interface and is a set of functions that allows applications we build to access data and interact with external software components. In our demo case, PROCESIO app with Weather.com application. If you are unfamiliar with APIs, don't worry, they are well documented in general; for this demo, just copy what we do.<br>JSON stands for JavaScript Object Notation and is a text format for storing and transporting data. It is "self-describing" and easy to understand. We will show you an example further in the demo.</p><p>Now let's get back to our process and configure the "Call API" action. <br>You probably observe now that the rest of the objects are not visible in the workspace. The reason is simple. There are multiple ways to build a process, and when we recorded this demo, we configured each object after adding it to the workspace. It was faster like this for us. We edited the recording and modified the flow as we think that in most cases, it is more practical to start with the process flow first, to have the "big picture", and do the configuration after. <br>No matter the approach, the result will be the same.</p><p>Call API action requires a connection to a data source (whather.com in our case) and a request for data. <br>Click on "Select API configuration". <br>As you can see, there is no API configured yet, so click on "Create credential".<br>On the "Credential Manager" window, click on the "Create new" button. <br>Add the "credential name" in the new window and click "Next". Now add the "URL", the "Test endpoint", the API key and the value. <br>Check the "Query parameters" box and uncheck "Header". <br>Again, if you are new to APIs, don't worry. Everything we added here is available in the Weather.com API documentation. If you want to connect to other applications, like Hubspot for example, just check Hubspot API documentation. <br>Now click on the "Test connection" button.<br>The connection works, so we save it. <br>We can see it in the "Credentials Manager" window, and it was also added in the "Select API configuration" field. <br>We close the "Credential Manager" window and click on "Configure Request".<br>We select the "Verb", add the "Endpoint", "method name", and the "Key" we've got from the documentation.<br>In the "Value" field, we should add the name of the city, but because we want to showcase more PROCESIO's capabilities, we decided not to "hardcode" the city name in the process but to ask for it every time we run the process. <br>To do that, we need to add a variable in this field. <br>As no variable was defined yet, we need to create one by clicking on the "plus" sign.<br>On the new window, we add the "Name" of the variable and the "Type". In this case, it is "String".<br>Because we want to add the city name when the process runs, we set it as an input variable. <br>Click on "Create variable", and that's it.<br>Next, we need to set up the "Body Output" field. Here we add the variable that will store the answer we receive from Weather.com.<br>We click on the "plus" button, and on the new window, we fill in the "Name" and the "Type". In this case, we select the "JSON" type. Because we want you to see the data and how a JSON file looks like we set it as an "Output" variable. <br>Next, click on "Create Variable".</p><p>We finish configuring the "Call API" action. <br>Before moving to the next object, let's test it. We click again on "Configure Request" and then on "Test Action". Add "London" as a test value and click on the "Test action" button. In the "Body output", we can see the response from Weather.com.<br>But we do not need all that information. For our report, we just need the temperature in degrees Celsius.<br>So it is time to set up the JSON Mapper object in our process to extract the data we need.<br>We select the "JSON Mapper" object, and the "Configuration Tab" opens. First, we need to select the "Input Json" field and choose the variable we created earlier to store the Weather.com answer. Then, in the "Query" field, we add the property we are looking for the current temperature in degrees Celsius. As we need to store the value of that property, we create another variable for the "Result field". <br>In the "Create Variable" window, we add the "Name" and select "Float" as "Type". Clicking on "Create Variable", we finished the "Json Mapper" object setup.<br><br>Next, we must configure the "Generate Document" object and action. <br>First, we need to fill in the "select document template" in the "Generate Document" tab; because we do not have a template yet, it's time to create one. <br>We save again our process and click on the "Back" button. <br>Then, on the main menu, we click on "Document Designer", and on the "Document Designer's" main page, we push "Create new document". We give it a name, and, for showcase purposes, we import an image to make it look better.<br>In this document, we want to show the temperature forecasted by Weather.com for the city we provide in the request. For this, we need to create two variables to store those values. Click on the "plus" button next to the "Format menu". Add the name of the variable, "city", in this case, and select "Type" "String". Click on the "Create Variable" button. We repeat the steps to create the second variable. We named it "temp", and the "Type" is "Float".<br>After we play a bit more with the format, it is time to use those variables and select them from the list on the left side.</p><p>We save the "Document template" and go back to "Process Designer". We open our process to finish the configuration for the "Generate Document" action. <br>We add the created template in the "Select document template" field. Then we provide a name to our file. Because we want to keep and see the file after we run the process, we create a new variable for the "Document output" filed. We fill in the "Name", select "Type" File, set it as "Output", and click "Create Variable".<br>The last step is to map "Process variables" to "Document variables".<br>Click on Map Document data.<br>Map "Process Variable” "cityName" to "Document Variable” "city" and "temperature" to "temp". We close the Mapping Window, and that's it. We finished configuring our process. It is time to run it.<br>First, we save and validate it. After we push the "Run" button, a "pop-up" window opens. We need to provide the name of the city. We add the name of the city and click "Run".</p><p>On the "Process completed" window, we click "Check instances". <br>We can see that all actions run successfully, and under "Instance Details", we see the input and output variables.<br>We can download them if we want. Doing something faster, better, and cheaper is what businesses strive for since… well, always 😊</p><p>What will change from our perspective is how the work is done and who does the work.<br>Let's see why and how!</p><p>In the last decades, workflow automation had three parties involved: business, business operations and software development. <br>The business works with business operations to define processes, data flows and metrics and decide what applications to use to support those.</p><p>The business operations works with software developers to customize and deploy the application.</p><p>Then, the lengthy integration process of the new application with the existing ones starts.</p><p>Anyone that has been involved in such a process knows that deploying the new application is the easy part. The integration with the organization's other applications and the automation is what takes a lot of time and money. And because of all these constraints, it often doesn't happen. It is not because people don't like automation but because it is costly and depends on software developers' availability. This is why 'business operations' does so much manual work to enhance the data available throughout the systems and create reports. By creating a task they will remember to follow up with a call or an email and maintain the relationship with the client alive.</p><p>Also notes are useful if one wants to have some observations from previous meetings stored in a digital format not only in a notebook.</p><h2 id="what-is-the-goal">What is the goal?</h2><p>Let's say a Hubspot user, typically a sales person, wants to be up to date with all that's going on in the news regarding his contacts. By being constantly informed one can have valuable insight about a client's company which might come in handy when approaching the contact.</p><p>Nowadays news run fast and it's sometimes hard to keep up with the huge amount of information that's available on the world wide web. Going through each contact in Hubspot and scrolling through the news websites to find out the latest things about them sounds like a time consuming activity.</p><p>What if, instead, you could have the top 3 most relevant articles about each contact aggregated directly in HubSpot as notes? Maybe you're interested in a certain list of topics and want to read only the articles that are related to health or investments. Having a classification of each article by topics might seem necessary.</p><p>Say you want to skip an article on Tesla (one of your contacts is working at this company) that talks about bussiness because you are already knowledgeable about this particular combination (Tesla &amp; bussiness). Just check the next article about Tesla which happens to have been identified as approaching the environment subject.</p><p>The examples can go on and on, but the bottom line is how much amount of time can be saved by having well structured insight data enclosed in the list of contacts that you go through day by day.
